How It Works
From chaos to
system
The company operating system stands on three pillars: a structured knowledge base, AI agents connected to your business tools, and a workflow that tracks every change.
Three pillars
Knowledge base
All company knowledge in structured, machine-readable files. Organized into domains: context, strategy, processes, agents. Organized into domains: context, strategy, processes, agents.
- ● Who we are, what we do, for whom
- ● Where we are headed (vision, goals, roadmap)
- ● How we do it (processes, workflows)
- ● Templates, references, glossary
AI agents
The AI agent reads the knowledge base, understands company context and executes work. Connected to Gmail, Google Drive, Sheets and other tools you already use.
- ● Customer support (persona + prompt)
- ● Sales agent (lead qualification)
- ● Process agent (payroll, invoicing)
- ● System agent (OS maintenance)
Change management
Process changes go through the same review as code changes. Every change is tracked, reviewed and approved before it takes effect. Complete history preserved.
- ● Every change = a commit
- ● Built-in approval workflow
- ● Full history: who / when / why
- ● Tier-based permission system
How it works in practice
Example: an AI agent receives the task "Process payroll for February"
Agent finds the right process
In the routing table it finds: "Payroll processing → processes/finance/payroll/workflow/". It knows where to look.
Checks document status
Status: approved, version 1.3. The agent knows it can trust this document.
Loads the 6-step process
The workflow defines steps, checkpoints, expected outputs and who owns each responsibility.
Connects to your tools
It reads the accountant's email (Gmail), downloads attachments, writes to a spreadsheet (Google Sheets) and saves files to Drive.
Writes a changelog
Every step, date and output, recorded in a changelog file. A complete audit trail.
What can you store in the OS?
It covers the full lifecycle of a company, from strategy to daily operations.
Strategy
Vision, mission, roadmap, goals, architectural decision records (ADR)
Processes
Sales, delivery, development, finance, operations: step-by-step workflows
Context
Company profile, products, clients, market, brand, values, team
AI agents
Personas, system prompts, tools, integration configuration
Templates
Proposals, kickoffs, knowledge articles, ADR records
Reference
Glossary, tech stack, important links, brand guidelines
Blueprints
Architectural plans, infrastructure, solution designs
Rules
Conventions, AI identity (SOUL.md), compliance (EU AI Act)
Common technical questions
Does everyone need to know Git?
No. A short onboarding session covers the principles. Content can be edited through a simple web editor. To approve changes, just click one button.
What if I don't want everything in Markdown?
Structured text files are the foundation, but the knowledge base can reference external systems. The key is giving AI a "map" so it knows where everything lives.
How does AI connect to our services?
Through a standard connection protocol that links AI to Gmail, Google Drive, Sheets and other services. No custom API required.
What if I need to change a process?
Edit the process file, submit for approval. The AI agent immediately reads the new version. The old version stays in the history.
How do you handle permissions?
A tier system: Admin, Contributor, Consumer, Agent. Each role has clearly defined capabilities. The AI agent never approves its own changes.
